This year we are asking members to vote by proxy to confirm the (re)appointment of the charity trustees that make up the Management Committee. You must be registered as a CAPS member to vote. Please vote by 1.15pm on Wednesday 12th November 2025 otherwise your vote will not count.

Privacy notice
CAPS’ constitution says that the names of all members who vote by proxy must be recorded in the minutes of the meeting, to demonstrate that the decisions made are valid. Having this information enables the Management Committee to carry out their statutory duties.
Subject to conditions set out in the constitution, the minutes can be seen by anyone who requests a copy of them. Please note that how you voted will not be identifiable.
We keep your proxy voting form until the meeting minutes are approved (at the next AGM or Management Committee meeting, whichever is the sooner). We keep meeting minutes in perpetuity.
You have the following rights about your information:
– the right of access – e.g. to ask for a copy;
– the right to rectification – e.g. to ask us to correct mistakes;
– the right to restrict processing – e.g. to ask us to stop using it for a period of time if you think we are doing something wrong;
– the right to object to processing – e.g. to ask us to stop using it;
– the right to raise concerns with the Information Commissioner’s Office (ICO) if you think we are doing something wrong. ICO website: ico.org.uk
